Overall Responsibilities: We are seeking a contractor who will be responsible for the overall management of the production aspects of the campus programming as delegated by the Production Manager for the 2022 Aspen Ideas Festival, including Ideas Health. The contractor will ensure that the programming runs smoothly and effectively, and that the AV Teams are managed in regard to all presentations, needed equipment and rehearsal schedules to ensure a successful event. The Festival Assistant Production Manager will may also be responsible for confirming final logistical details with all speakers and ensuring that presentations are in full working order prior to scheduled festival sessions & transferred to the appropriate AV techs as delegated by the Production Manager. This will include on site troubleshooting and other duties as required.
Principal Responsibilities: • Checking with the AV team in those particular venues prior to the start of the sessions to ensure that all lighting, sound, projection, etc. are in full working order and appropriate setups in place according to a pre-determined style guide. • Ensure that special requests are fulfilled as needed i.e. additional equipment requests and/or other props required above and beyond PowerPoint and Keynote presentations by informing the Production Manager. • Stage management of the larger sessions as needed, ensuring a “touch base” with all moderators and speakers in advance of the more detailed sessions to talk through program line up & needed equipment. Ensuring that information is passed along to the appropriate AV Staff as delegated by the Production Manager • Effective communication with Venue managers to ensure they are aware of request and needs in advance of all sessions.

Please note this is a 1099 contractor position. Compliance with Laws; Additional Compliance Warranty; and COVID Safety Plan. Contractor shall comply with all applicable federal, state and local laws and regulations, including, but not, limited to laws and regulations pertaining to lobbying and government ethics, data privacy, sanitation, and public health, safety, and social distancing requirements. Contractor hereby acknowledges and warrants that Contractor’s activities contemplated under this Agreement, as specified in the Statement of Work, will not result in registration under the Lobbying Disclosure Act of 1995, as amended, and will not fund any political campaign or influence the outcome of any election. If at any point during the Term of this Agreement, circumstances arise whereby Contractor’s work could implicate compliance issues and/or require lobbying registration, Contractor shall immediately cease activities and consult with the Institute. As part of Contractor’s compliance obligation, Contractor warrants to the Institute that it has developed and is operating according to a COVID-19 health, safety, and sanitation plan (“Safety Plan”) that takes into account best practices and applicable government and public health authority requirements and guidelines. Contractor further acknowledges and agrees to follow the Institute’s entry protocols during COVID-19; specifically, Contractor providing services will be required take an onsite COVID-19 rapid test and show a negative result before entry and wear a KN95 mask, unless Contractor volunteers to share with the Institute that Contractor is fully vaccinated using the Institute’s screening app. The Institute will provide specific instructions prior to entry. Contractor further agrees to provide a copy, or executive summary, of the Safety Plan to the Institute for review prior to the Parties signing and executing this Agreement. The warranties and obligations in this section are material conditions of Institute agreeing to enter into this Agreement.
